Here's exactly what happens — from go-live to month six.
Most AI vendors describe what their system does. This page describes what we do — the build process, the training, the monthly work, and exactly what you never have to touch. If you've been burned by a tool that didn't work or a vendor who disappeared after setup, this page is for you.
Step by step — the whole thing
- 01
STAGE 1 — The 15-minute call
Day 0
What we do
- We ask you about your services, pricing, service area, and how you handle different types of enquiries.
- We map your emergency protocol — what counts as urgent, and how you want to be alerted.
- We confirm which tools you use (Jobber, ServiceTitan, Calendly, etc.) and access requirements.
- We agree on which services you're starting with and set a go-live date.
What you don't have to do: Write scripts. Set up any accounts. Configure anything.
Output: A complete brief that becomes the blueprint for your AI system.
- 02
STAGE 2 — The build
Days 1–3
What we build
- The AI knowledge base — your services, pricing ranges, service area ZIP codes, FAQs, and how you handle common scenarios.
- The conversation flows — how the AI qualifies a job, handles an emergency, and responds when it doesn't know something.
- The integrations — connecting to Jobber, ServiceTitan, your calendar, WhatsApp Business, Twilio, or whatever you use.
- The escalation logic — keyword triggers that alert your phone immediately for genuine emergencies.
What you don't have to do: Anything. We build the entire system off the brief from the call.
- 03
STAGE 3 — Testing and go-live
Days 3–5
What we build
- 20+ real customer scenarios across your specific services — booking a job, asking about pricing, reporting an emergency, asking something the AI doesn't know.
- Integration sync — jobs booking correctly into your calendar or CRM, confirmations sending to the customer, escalations arriving on your phone.
- Edge cases — what happens when a customer is rude, asks an out-of-scope question, or provides incomplete information.
Output: You review the test results before anything goes live. We don't flip the switch until you're satisfied. Go-live: your existing phone number or web chat forwards to the AI. Customers touchpoint doesn't change.
- 04
STAGE 4 — The first 30 days
Month 1
What we build
- Review 20–30 real conversations from the first weeks. Find where the AI gave a wrong answer, misunderstood a request, or missed a booking.
- Retrain the knowledge base with corrections and additions.
- Check integration health — are jobs syncing, are confirmations sending, are escalations firing?
- Send you a monthly report: conversations handled, jobs booked, escalations triggered, any issues found and fixed.
What you don't have to do: Read the report if you want to. Tell us if anything changed in your business — new service, new pricing, new area.
- 05
STAGE 5 — Ongoing
Month 2 onwards
What we build
- A performance report (conversations, bookings, escalations)
- A 15-minute check-in call if you want one
- Any updates we've made to the knowledge base or flows
- Proactive flagging if we spot anything that needs your input
Output: You manage none of it. When your business changes — new service, new pricing, new coverage area — you send us a message and we update the system within 5 business days.
The list of things you'll never be asked to do.
This list is as important as what we do. If any of this sounds like what you experienced with a previous tool, that's the difference between software and a managed service.
- Log into any platform to check how the AI is performing
- Update scripts or conversation flows when your services change
- Configure integrations when you switch CRM or booking software
- Debug the system when something goes wrong
- Review conversation logs to find where it went off-track
- Write prompts or instructions for the AI
- Manage WhatsApp Business API accounts or Twilio numbers
- Do anything when the system updates
Ready to see what this looks like for your business?
Book a 15-minute call. We'll walk you through the process for your specific industry, show you the AI handling a real message, and give you an honest timeline and cost.
